ETS Transition Update

IT Survey Update - Jo Joss

ETS had no data to show how Elanco employees feel about enterprise IT services. Given that we will use customer satisfaction as a success measure, we needed to gather some data before the transition. We recently sent out a survey to the whole of Elanco via the Path to Independence newsletter, asking for feedback on 6 key areas:

  1. Meeting Room Technologies
  2. Collaboration Tools available
  3. Remote Working Tools
  4. Speed & Stability of Internet and Network
  5. End User Compute Devices
  6. Overall IT Support

 

We received almost 500 responses to the survey and are currently analysing the data. This will allow us to set goals we would like to achieve through the transition, report back on these to employees, and later gather more data to see how well we have done.

Network – Paul Graham

  • We have agreement that the Puerto Varas site will be upgraded to use the new Lilly SDWAN service and integrate an Internet backup circuit that will provide resilience for the site. After suffering with unreliable connectivity since November 2018, an Internet backup circuit will be integrated into the network. This is a great example of the on-going collaboration with our Lilly colleagues.
  • Following on from the success of the Kansas City site visit, we are gearing up for the next round of cutover planning at our critical sites in Wusi, China and Yaraandoo, Australia; we expect to come away with a detailed plan of how these sites will migrate into the Elanco environment early next year.

Service Management - Ben Nuthak

  • Employee Portal Name - Be sure to see the most recent Path to Independence email to vote on the name/theme for the Employee Portal!
  • User Acceptance Testing – Representation from each IT organization converged from June 10-13 to evaluate the IT portions of the ServiceNow platform. We’ve received solid adoption and excellent feedback to refine the tool and processes these next few weeks in preparation for formal testing.
  • Helpdesk Training - We’re hoping to begin training our Helpdesk toward the beginning of August. We’re in the final phases of evaluating/contracting with a Helpdesk Managed Service Provider.
  • Timeline Impacts -
    • End Oct: The Employee Portal will be delivered toward the end of October. Because of this, we’re evaluating the most efficient options to rolling out ServiceNow access to global IT and the sites that have cut-over prior to this date.
    • Nov 1: Open Enrollment for US – ServiceNow HR Catalog will front-end Workday.
    • Nov 1 -> Jan 1: ServiceNow rolled out during site cutovers.
    • Jan 1: ServiceNow deployed to all remaining sites.
    • Blacklist - Lilly has created a solution to allow us to blacklist Elanco employees from Lilly’s ServiceNow instance, providing a redirect notice to Elanco’s instance.
